Hotel operations

A group enquiry is not a big reservation, it is a different product

A wedding party, a touring company, a conference block: the most valuable enquiries a hotel gets, arriving as free text because no booking engine can price them. They go to an inbox, wait for someone who can quote, and are lost to whoever answered first.

Why the booking engine cannot help

Groups need a rate that depends on volume, season, length of stay, what else is on the books that week, and whether the hotel wants that kind of group at all. Every one of those is a commercial judgement. The engine can only quote the published rate, which for twenty rooms is both wrong and insulting - and quoting it is worse than quoting nothing.

What can be published, and it is the whole qualification

The threshold at which a booking counts as a group. Whether a deposit is required and when. The cancellation terms, which are never the individual ones. Whether a rooming list is needed and by when. Whether meeting space, breakfast or transfers can be included. Six facts that cost nothing to state and that qualify the enquiry before anyone reads it.

Speed decides this one, more than price

A group organiser is writing to several hotels on the same evening. The one that replies with the terms and a named person wins the conversation, not necessarily on rate. An enquiry that sits overnight has usually already lost - and the cost is not one room but twenty, which makes this the most expensive silence in the building.

Capture the five fields revenue actually needs

Dates, number of rooms, number of guests, the occasion, and whether meeting space is wanted. With those, whoever quotes can quote without a round trip. Without them, the first reply is a list of questions - which costs another evening, and the organiser has already had three answers by then.

Frequently asked questions

Should an assistant quote a group rate?
No, and you should require that it refuses. A group rate is a commercial judgement about volume, season and what else is on the books. Quoting the published rate for twenty rooms is worse than quoting nothing - it reads as a refusal to negotiate.
What should a hotel publish about group bookings?
The room threshold that makes it a group, deposit terms, the group cancellation terms, whether a rooming list is needed and by when, and what can be bundled. Six facts that qualify the enquiry before a human reads it.
Why does replying overnight matter so much here?
Because the organiser wrote to several hotels in one evening and will be talking to whoever answered. The cost of the silence is twenty rooms, not one. We will not quote a win rate - it would be from another property; count your own group enquiries and conversions for a season either side.
What should be captured from the enquiry?
Dates, rooms, guests, the occasion, and whether meeting space is wanted. With those five, whoever prices it can price it in one pass. Without them the first reply is a questionnaire, and that costs another evening.
Which languages can an enquiry arrive in?
Hebrew with full right-to-left layout, English and Russian, detected from what the organiser writes. Groups are frequently booked by someone arranging travel on behalf of others, which is exactly the case where a date or a room count gets lost in translation.
